A switchboard that answers, understands and routes every call

HeyUp answers in place of your switchboard, works out who is calling and why, then puts the call through to the right department or colleague. When nobody is available, it takes a message. Answering the phone no longer falls on your team.

When answering the phone rests on one person

A departure, an absence, a busy morning, and the phone falls back on people who have other work to do. Everyone picks up a little, nobody quite knows who to put the call through to, and the caller explains their request three times.

A departure shouldn't disrupt reception

When the person who ran the switchboard leaves, what they knew leaves with them: who handles what, who to call back, what to say. HeyUp keeps it in writing and applies it to every call.

Every call interrupts someone

Picking up, asking what it is about, finding the right person, chasing them: a few minutes per call, taken from everyone's work.

At lunchtime, in the evening and at weekends, nobody answers

After-hours calls land on a voicemail few people listen to. HeyUp answers at any hour and passes on what needs passing on.

Your AI receptionist

Everything you expect from a switchboard

The six questions we are asked before a company hands its phone reception to HeyUp, and our answers.

Answers calls on its own

HeyUp picks up on the first ring, in your organisation's name, and holds a real conversation, with no "press 1" menu and no recorded message. It answers common questions itself (hours, address, procedures) and takes several calls at once.

Identifies and qualifies the request

It asks for the caller's name, company, reason for calling and whatever else you need. It recognises a known contact by their number, and follows your qualification forms when you define them.

Transfers to the right person

Depending on the request, it puts the call through to the right department or colleague. On an announced transfer, it calls your colleague first and summarises the request; the caller is only connected once the call is accepted.

Takes messages

Colleague away or busy, a request that can wait: it notes who is calling, why and how to reach them, and files the request in the team's Messaging inbox. Your answer is passed on to the caller by the agent, on their next call or by calling them back.

Handles after-hours calls

Outside your opening hours, it keeps answering: it gives information, takes messages and offers a call back at a time that suits the caller. It doesn't transfer to extensions nobody will pick up.

Works with your phone system

Forward your current number, or connect HeyUp as a SIP extension on your IP-PBX or hosted PBX: you keep your numbers. The technical details are on the Phone system compatibility page.

A call's journey

Your rules, applied to every call

You describe your organisation once: departments, colleagues, hours, what can wait and what can't. HeyUp uses it to decide, call after call.

Your organisation, written out plainly

For each department or colleague: what they handle, how to reach them (extension, shared extension, mobile) and when. No phone tree to program: callers explain what they need in their own words.

Hours and availability

Transfers follow your opening hours and each person's availability. You can also have your team answer first at certain times, with the agent taking over the rest of the time.

Announced or direct transfer

Announced: your colleague knows who is waiting and why before taking the call, while the caller waits on hold music, reassured every 30 seconds. Direct: the agent announces the transfer and puts the call through straight away.

Nobody picks up? The call isn't lost

Line busy, no answer, transfer declined: the caller comes back to the agent, who tells them and takes their request so someone calls them back.

Setup

A guided setup that doesn't tie up your team

We prepare the agent with you. Your installer, or we ourselves, connect the phone system.

1. We describe your reception

Departments, colleagues, hours, frequent questions, and the know-how of whoever runs the switchboard today: now is the right time to write it down.

2. We connect the phone system

Forward your number, or add a SIP extension on your IP-PBX or hosted PBX. Your installer will find every technical detail on our dedicated page, and we support them.

3. We test, then switch over

You call the agent on its direct number, check its answers and transfers, then switch over when you're ready. You can go back at any time.
